Buildings and portfolio schedules
For one building or several, start with a current list of locations, ownership entities and how each property is used. Square footage, construction, improvements and existing policy information help organize the review. Check that the schedule reflects the properties you own.
Tenants, leases and lenders
Discuss tenant activities, shared spaces and any changes in occupancy. Identify the parties named in leases and lender or mortgagee requirements so insurance questions can be raised with the right information. A certificate does not itself change policy coverage. Insurance discussions do not replace legal advice about a lease.
Building limits and reconstruction
The cost to rebuild is a different question from a property’s purchase price or market value. Building characteristics and current construction costs matter. Where appropriate, a custom reconstruction-cost report can inform your review of building limits. It is an estimate—not a guarantee of sufficient limits, a carrier’s claim settlement or full payment.
Roofs, wind and hail, and changes in use
Have the roof’s age, materials, condition and recent work available to discuss. Ask how the actual policy treats roof losses and wind or hail deductibles. Let the agency know about renovations, vacancy or a planned change in use; these can raise coverage and eligibility questions. Terms vary by policy and insurer.
Rental income and interruption
Discuss rental income, continuing expenses and how long a damaged property might take to return to use. Those details can help frame questions about business income coverage and its limits or time periods. Payment is not automatic: the cause of loss, applicable coverage, exclusions and other policy conditions matter.
Owner and manager responsibilities
An owner’s building exposure and a property manager’s business operations are different concerns. Explain who arranges insurance, maintains the property and works with tenants. Reviewing those responsibilities together can identify questions to address; one party’s policy should not simply be assumed to cover the other.
